Absence Notification Procedures:

Automated Absence Calls – RRISD central office manages an automated call system to contact parents for all absences, including partial day absences. This helps to resolve truancy problems
Absences may be excused for four reasons -
- Personal illness/doctor’s appointments
- Death in the immediate family
- School related absence
- Statutorily Allowed reasons under compulsory attendance laws (requires documentation) For example – college visits, religious holidays, military recruitment, court appearances.
- A note from a healthcare provider is required to excuse absences due to doctor appointments.
- ALL notes must be received within 48 hours of the students returning to school.
- Juniors and Seniors can have 2 absences due to college visits per year. These visits will require signed documentation from the college and submitted within 48 hours of the visit (forms located in the counseling suite or front office and signed by teachers and Mr. Watson.) If the college will not sign our form we must have a signed letter from the college on their letterhead naming the student as being present on the specific date and signed by the college representative.
Reporting an Absence –
We DO NOT accept phone calls as documentation for a student’s absence. The parent/guardian must report the student’s absence within 48 hours upon the student's return.
- All notes must include – Student’s first and last name, Student ID#, reason for absences, date(s) of absence, parent/guardian’s signature and parent/guardian phone number.
- For security reasons, please note all email addresses and parent/guardian information must match what is listed in your student’s emergency contact information. If it does not match, please contact the registrar’s office records specialist for any updates.
- Signing out a student through the front office is for security purposes and does not excuse a student’s absences. A written note or online “Report an Absence” google form is required.
- If a student goes home early due to illness or a medical appointment, we will need a written note or online “Report an Absence” google form to report the student’s absence within 48 hours of the student’s return to school.
- If a student is absent 5 or more consecutive days, a doctor’s note is required upon the student's return to school.
- To report an absence online go to http://stonypoint.roundrockisd.org and click the “Report an Absence” button to complete the google form. Absences submitted online MUST be submitted from a parent/guardian email address on file to be processed. The google form also allows you to upload any documentation you may have (i.e. doctor’s note, college visit paperwork, etc.)
- Or a physical note must be delivered to the attendance office and placed in the appropriate basket on the wall within 48 hours of the students return to school. ALL notes are date stamped the day they are received.
Medical Appointments –
Partial day absences due to medical appointments are excused by TEA when the student is in attendance for the remainder of the school day. A doctor’s note is required. Please follow the Early Release procedures.
Arriving Late to School –
Students sign-in at the front office is required as part of the attendance record for all students who arrive late to school. The student should bring a parent/guardian note explaining the reason for arriving late, or a school excuse from a doctor’s office.
Leaving School Early Release –
- We do not take phone calls or email early pick up requests.
- We cannot release students from class after 3:50pm. Students must have made prior arrangements.
- Parents wishing to sign out their student early before the end of any given day should complete the “Early Pick Up Form”. You may go to stonypoint.roundrockisd.org/a-z to complete the form, print it out and have the student bring it to the front office before school.
- If you do not have a printer, we will need a parent/guardian written permission note with the student’s full name, student ID#, date and time of the release, reason for leaving, and the parent’s telephone numbers.
- Please note that if you are requesting that your child be sent a pass to leave at a specific time, the student must bring the form to the front office before school that day.
- Only a parent/guardian or an emergency contact can sign a student out. A valid photo ID is required. If the person is not on your emergency contact list in the RRISD system, the student cannot be released to that person.
- Student drivers may sign themselves out in the front office providing we have the signed parent/guardian note granting them permission on the written parent/guardian note. Please expect a call from the main office calling the parent/guardian confirming the permission has been granted. Students are required to come to the front office to sign themselves out before they leave the campus for security purposes.
- Please allow a few extra minutes when signing the students out as the front office MUST verify all parent/guardian or emergency contacts valid photo ID is registered in the RRISD system.
Attendance Error Questions –
- If you find your student’s attendance is in error, please go to Home Access Center (HAC) and hover over the date in question. In a few seconds it will show you the class period (example – 01, 02, etc.) in which the teacher marked your student absent. Please email or call the teacher directly to inquire about the absence. Corrections MUST come from the teacher of record to the attendance office. Please do not contact the attendance office, as we cannot change any attendance without the teacher’s correction form.
- The attendance office will update the attendance once the teacher’s correction form has been received. You may monitor the updates in the Home Access Center (HAC).
- School related attendance – Please note the teachers or coaches who are responsible for coordinating the events are required to submit a list of student’s names and ID#’s to the attendance office. Please allow a few days for the updates due to the multiple events rosters received in the attendance office to enter as they are entered in addition to the other daily office duties. You may monitor the updates in the Home Access Center (HAC).
Attendance –
- Tardy – A student is 1-10 minutes late to class. A Tardy Calculator system is in place. When a tardy is recorded, you will receive an email immediately alerting you to the tardy.
- A student is considered tardy to class if he/she is outside of the classroom without a hall pass when the tardy bell rings. Teachers follow the guidelines to ensure all students have the same requirements for attendance. Once the tardy bell rings, students entering the classroom will be counted tardy on attendance by the teacher.
- Unexcused Absence – A student is 11+ minutes late to a class. Or a student was not in class at all that class period or day.
- State law requires students to be in attendance 90% of the days the class meets. A student who attends at least 75% but fewer than 90% may receive credit for the class if he or she completes a plan, approved by the principal that allows the student to fulfill the instructional requirements for the class.
Excessive Absences/Truancy –
- The State of Texas mandates a process for truancy prevention, beginning when a student has three unexcused absences within four weeks. Truancy is a failure to attend school on 10 or more days within a six-month period in the same school year.

VOE Eligibility & Requests
State law requires students to be in attendance 90% of the days the class meets and /or receive credit for all courses scheduled the prior semester in order to receive a Verification of Enrollment (VOE) form that is required for a driver’s license/driver’s permit.
- Under Block scheduling, the 90% attendance rule allows for a maximum of five absences in each class per semester. Student’s grades are verified with the Registrar’s office.
- To request a VOE please go to the Stony Point website https://stonypoint.roundrockisd.org/ and complete the “Request VOE” button google form. Double check to make sure the student’s name and ID# are correct on the form as well.
- Please allow 48 school business hours for the VOE requests to be processed. You will not be notified when it is ready. The VOE forms must be picked up in person in the attendance office.
